This is the retention schedule for LCC’s Community Education & Workforce Development (CEWD) Division. It is a list of record series found in the CEWD departments and programs and is the central retention document for the division. This retention schedule supersedes all record series on previously approved retention schedules for the departments within the CEWD Division. About Retention
The retention periods in this retention schedule are mandatory minimum retention periods. Records should not be disposed of prior to reaching the end of their retention period. Once the retention period has elapsed records should not be held for more than one (1) year beyond their listed mandatory minimum retention period.
Certain records may be retained for longer periods of time if there is a legitimate business need or if the records are subject to a legal hold, pending legal action or are a part of an on-going review, audit or investigation. If the retention period expires before the issue is resolved, the records must be retained until resolution is reached.
The retention periods in this retention schedule apply to official records, meaning the version of the record held in the official office of record. Many records are duplicated during their lifespan with copies being sent through email and held, in full or in part, in various offices, but the official office of record is responsible for retaining the record according to the retention period in the retention schedule.
About Approval
The Community Education & Workforce Development (CEWD) Division Retention Schedule was approved by the State Administrative Board on November 4, 2025. Employees can view the official document on LCC’s internal O: drive. NOTE: To access these folders off-campus you must be logged into your LCC VPN.

These records document the Community Education Workforce Development (CEWD) Division's financial activities.

CW002 – Contracts & Agreements
These records document contracts and agreements related to projects and teaching in the Community Education Workforce Development (CEWD) Division including, but not limited to, Faculty Assignment Agreements (FAA) and agreements for developing a course, revising a course, or teaching a class.
CEWD is generally not the office of record for the official legal document, but still needs to maintain these records to administer the terms.

CW003 – Timekeeping & Pay Records
These records are used to document and submit time used, determine pay rate for faculty, monitor timekeeping beyond contracted hours, record time additions/modifications, approve payment for special assignments outside the classroom, and support Banner System data entry.
NOTE: Official timekeeping and pay records older than one year are retained in the Payroll Office.

These are records used for reference and training employees. They include, but are not limited to, forms, scenarios, and other training documents.

These are records used for marketing the programs and services offered in the Community Education Workforce Development (CEWD) Division. They include, but are not limited to, photographs, videos, brochures, flyers, logos, webpage information, news articles, postcards, social media posts, surveys, presentation materials, hand-outs, spreadsheets, proofs, and supporting documentation.
NOTE: The Marketing Department retains the final version of all marketing and media materials they create for the CEWD Division.

These records may include, but are not limited to, inventories (key inventory, robotics equipment inventory list, iPads inventory, chemicals inventory), spreadsheets, sign in/out sheets, receiving/sending logs, checkout logs, and related correspondence.

CW008 – Space and Program Schedules
These records are schedules that organize and optimize the use of shared spaces in the Community Education Workforce Development (CEWD) Division. They include, but are not limited to, room schedules, event lists, appointment records, future need plans, and change communications.

NOTE: Different systems collect, disseminate, and delete data at different intervals, and are used for different purposes. As a result, the volume of data generated will vary, as will the capacity of the system to store the data. The Community Education Workforce Development (CEWD) Division has adopted written Systems & Data Retention Guidelines to define how long it will retain data for each system.
