Syllabi Completion, BP 3.030, BP 4.070
1. Purpose
To ensure students receive current and accurate information in the College syllabi for credit-bearing courses.
2. Scope
Applies to Deans, Associate Deans, Directors, Director of Academic Operations (DAO), Course Information Management Team (CIMT), faculty, and divisional staff completing the syllabi audits.
3. Prerequisites
In accordance with the Michigan Association for Higher Education (MAHE) contract, all section syllabi will contain Lansing Community College (LCC) contact information indicating how students may contact the faculty member and the times, modes, and/or locations available for student office hours. This information is not entered on the syllabi through automated processes; faculty are required to complete that information in their section syllabi, along with other information specific to their section(s) as noted in the procedure below.
Faculty teaching credit-bearing courses are required to review, update, and use their syllabi in Concourse as part of their communication with students. The Concourse syllabus shall be the only syllabus provided for each section.
4. Responsibilities
- Deans, Associate Deans, Directors, or designees – Responsible for ensuring that this procedure is followed for all syllabi.
- DAO – Responsible for updates to the institutional template, creation of the basic course templates, review of the final course templates, and completing the process to create the section syllabi each semester.
- CIMT – Responsible for finalizing the course templates.
- Faculty – Responsible for finalizing their section syllabi.
5. Procedure
- Institutional Template
Each semester the Academic Affairs staff and the Provost will review the information in the Institutional Template. If needed, revisions are made by the DAO prior to the date when the section syllabi are created. - Course Syllabus Template
- After completion of the new course approval process, the course is entered in Banner, and the DAO will complete the process to create the basic course template with the information housed in Banner.
- The CIMT representatives add the details of the course that are not in Banner, such as the course learning outcomes, evaluation methods and percentages/ranges, and any course requirements.
- The DAO will review the syllabi against the information that was provided in the Curriculum Committee proposal for the new course.
- Section Syllabi
- Approximately two weeks before the semester start date, the DAO will run the Concourse data feeds to create the section syllabi. The specific date is determined in conjunction with eLearning, as the section syllabi must be created prior to the creation of the D2L course shells.
- Instructors then begin finalizing their section syllabi. The syllabi must be completed
by the first date of the part of term for the section. Below is a list of items that
faculty must add to their syllabi.
- Course meeting days, times, and locations. If a section is taught in an online, hybrid, ORT, or Hyflex mode, that mode must be stated.
- LCC email.
- Department name and office number.
- Department phone number.
- Office hours, including specific days, times, and location/modality (e.g., WebEx or email for online sections).
- Materials – Textbook and other materials needed for the course. For courses using First Day Inclusive Access (FDIA) for their eBook, specific language is provided by the DOA each semester and must be entered on the syllabus under this section.
- Evaluation Criteria specific to the section - If there are ranges (e.g., 20-50%) at the course level, the specific percentage must fall within that range. That specific percentage is entered, replacing the range.
- Course Requirements – Any procedure that applies only to that section should be completed
under Course Requirements.
- If teaching an online section that requires in-person testing, faculty must add information to explain this requirement. See Online Sections Requiring Proctored Testing, AA.027 SOP in the O: drive workspace.
- Artificial Intelligence – Provided to inform students whether or not the use of AI is acceptable in the section. Faculty retain the introductory paragraph and then choose from three options: 1) The use of AI tools is not allowed in this course, 2) AI may be used on some assignments, per approval by the instructor, or 3) Students are encouraged to use generative AI tools in their coursework. In order to maintain consistency in how this is implemented campus wide, no other information or edits are made.
- Emergency Closure/Remote Instruction information so students know how instruction will be provided in the event of an emergency requiring campus closure. Note: Even for asynchronous online sections there are types of emergencies during which the College is closed and all activities are suspended.
- Faculty and Student Engagement, including the number of days after an assignment that grades and feedback will be provided, and at least two additional student engagement methods.
- Schedule - The schedule for the section with specific dates and/or weeks for assignments and exams. A hyperlink to the schedule in D2L is acceptable.
- Review of Syllabi
- Faculty must review their section syllabi in their entirety each semester. During
this review faculty should check for the following:
- All hyperlinks are working and accessible.
- Any reference to student support areas are updated as needed to ensure the department name, location, phone number, and email are correct.
- Unless an accrediting body requires it, there should be no reference to attendance as part of the grading criteria or course requirements. Using engagement (participation) is acceptable.
- The schedule must be updated with the current dates.
- If sections are crosslisted in D2L, faculty are still required to complete all section syllabi.
- The Copy function in Concourse may not be used to copy information from a previous semester to the current semester to prevent the loss of current information on the section syllabi. For example, if the evaluation methods changed effective Fall semester and the instructor copies the evaluation section from the previous Summer semester syllabus to the Fall semester syllabus, the copy will override the revisions that were made at the course level. After a current syllabus is updated, faculty may use the Copy feature to copy from that syllabus to other syllabi in the same semester.
- Staff from the departmental or divisional offices will complete a syllabi audit to ensure that all required information was added to the section syllabi and will follow up with the instructors when missing/inaccurate information is found. Institutional Template in the Concourse syllabus system – Contains the information required on all College syllabi.
Course Template in Concourse – Contains all of the information from the Institutional Template and the information that is common to all sections of the course, including the course description, prerequisites, credits, course learning outcomes, evaluation methods and percentages or ranges, course requirements, etc.
Section Syllabus – Contains all of the information from the Institutional Template, Course Template, and instructor-specific information. When completed by the instructor, it contains all of the information specific to that section: Course Reference Number (CRN), meeting dates/times, instructor name and contact information, textbook information, schedule, etc. It is the syllabus provided to the students enrolled in the section.
