Inventory Asset Processes

The college Fixed/Inventory Asset tagging policy requires affixing barcode tags to all tangible assets, acquired through donation, gift, transfer, purchase, capital lease or self-construction, costing $1,000 or more, and having a life expectancy of one year or more.

Tagging Of Inventory Assets

Please complete an Equipment Tagging Request for tagging of items not ordered through the Banner system (ie P-Card purchase or donation), or items not identified by Purchasing for tagging.  Receiving will automatically tag items already identified by Purchasing.

In addition to the Site, Building, Floor and Room information that is a part of the Services Request Form, please include the following information in the Remarks section, about the item for tagging, if applicable:

  • Description
  • Purchase Order Number
  • Cost
  • Model Number
  • Acquisition Date
  • Manufacturer
  • Serial Number

Movement Of Tagged Inventory Assets

Please complete an Inventory Control Request when moving LCC tagged assets from one location to another, on a permanent basis, without using Moving Services or ITR.  Moving Services and ITR are responsible for recording changes when tagged items are moved through their operations.

Use the new location information when populating the Site, Building, Floor and Room information in the Services Request Form, and please include the following information, about the item being moved in the remarks section:

  • Equipment Description
  • LCC Barcode Number

Inventory Asset Reports

Individuals may request listings of Inventory Assets by a variety of parameters that are now available within the Inventory system. Three report options are currently available.

  • The Inventory Asset by Building Report will include all inventory assets within a specific building, by room location, including the description, cost, manufacturer, model, serial number, acquisition date and useful life.

  • The Inventory Asset by Room Report will include all inventory assets within a specific room, including the equipment description, cost, manufacturer, model, serial number, acquisition date and useful life.

  • The Custom Inventory Asset Report will be for other needs not covered in the other two reports. Provide a description of the inventory asset information desired, and if the information is available, a custom report will be developed.

Reports will be sent via OCS or employee email to the requestor as Word document and Access database attachments.
